These terms apply to the services you order from us through this website: the personal income tax return, paid consultations and, where agreed with our tax advisor, accounting, VAT and payroll for companies. How we handle your personal data is in our privacy policy.
1. Who we are
ExpatAccountant.com ("we", "us") is run by Ing. Roald van de Munt, owner of the company Alexio Consultancy s.r.o., IČO 11803860, DIČ CZ11803860, which provides and invoices all our services. Alexio Consultancy s.r.o. is a VAT payer. Tax advice is given by our tax advisor Ing. Karel Zacko, certified tax advisor no. 4794. E-mail: contact@expataccountant.com · Post: Alexio Consultancy, IP Pavlova 1789/5, 120 00 Praha 2 – Vinohrady, Czech Republic.
2. Working together
Our work needs two-way communication. If you do not respond to our requests for more than one month, or do not send information we need to continue or complete the service within that month, we may stop the service without a refund.
Accounting output (tax returns, (de)registration forms, the accounting database file) is handed over once all outstanding invoices, including any penalties and interest, are paid in full and the hand-over protocol is signed, or an email ending the relationship has been received from either side.
What a service includes. A service includes all the work needed to deliver it. For example, a tax return includes receiving and reviewing your documents, processing your income and expenses, and the calculations behind the return. This work is part of the service you order, also when you only asked for the end result.
Filing on your behalf. By ordering, you authorise us to file on your behalf what the service needs: for a tax return the income tax return and, where needed, the overviews for social security and health insurance. We do this with the powers of attorney you sign, and send you a copy of what we filed.
Powers of attorney have no end date, because you may need our help even years after leaving the Czech Republic. If you change provider, make sure your new provider replaces our powers of attorney with their own; this cancels ours.
3. Prices and payment
- Prices are in CZK. Euro amounts are converted at the current ČNB rate and rounded to whole euros: the amount shown before payment is the amount you pay.
- Prices for consultations and personal tax returns are final prices, including VAT. Prices for company services are shown excluding VAT; VAT at the standard rate (21%) is added.
- We start once your payment has arrived. Consultations take place at the time you booked; other services start within the 14-day withdrawal period only if you asked for that when ordering (section 6).
4. Income tax return
- We start once we have your payment, your power of attorney and all your documents, and once the 14-day withdrawal period is over, unless you asked us to start right away (section 6): first come, first served.
- The price covers preparing and filing the income tax return and, where needed, the overviews for social security and health insurance, and the follow-up on that filing: we put our own contact details in the return, so the tax office contacts us, not you, and we answer its questions about the return. Not included, and invoiced separately: requests for lowering or cancelling tax, social or health prepayments, sorting out late payments, debts and penalties, tax audits (daňová kontrola) and other dealings with the offices.
- Late filing or payment: after the deadline the tax office charges interest (0.05% a day, max. 5%) after a 5-day grace period; social security and health insurance charge penalties too.
- We prepare and file your tax return based on the documents and answers you give us. You remain responsible for their completeness and correctness, as the taxpayer. If you want a certified tax advisor (daňový poradce) to take over that responsibility and/or extend the filing deadline, you can order this separately; for most returns it is not needed.
- We cannot be held responsible for penalties or audits by the tax office.
- No refund if we cannot file because documents or answers are missing or come too late.
5. Accounting, VAT and payroll for companies
- The packages on our company accounting page are suggestions. Before you start, our tax advisor looks at your company with you and you agree the package, the start month and any catching up on past years.
- What we agree is confirmed in a separate written offer or contract, which then applies together with these terms.
- We book and file based on the documents and information you give us. Your company remains responsible for their completeness and correctness, and for sending them in time for each deadline.
6. EU right of withdrawal, cancellation and refunds
If you order as a consumer, you can withdraw from a contract you concluded with us online within 14 days of your order, without giving a reason.
How to withdraw
- Use the Withdraw from the contract button on your order page. The link is in every e-mail about your order.
- Or e-mail us (reply to the e-mail about your order), for example: "I withdraw from the contract for [service], order [number] of [date]. Name, address, date, signature (only on paper)."
We confirm the receipt of your withdrawal by e-mail.
Starting within the 14 days
Consultations: by booking a consultation you choose its date and time yourself, and you ask us to provide it at that time, also when it falls within the 14-day withdrawal period. Once the consultation has taken place, it is complete and you can no longer withdraw from it.
Other services: we start after the 14-day withdrawal period, unless you ticked Start right away when ordering. In that case:
- if you withdraw, you pay for the work already done until your withdrawal, and for costs we already paid for you to others;
- once the service has been completed, you can no longer withdraw.
What "work already done" means per service
- Income tax return: nothing until the intake meeting or until we start processing your documents. After that: half of the price. Once the return has been prepared for your approval or filed: the full price, as the service is then complete.
- Paid consultations: a consultation that has taken place is complete. For moving or cancelling a booking, see the booking page.
Companies ordering for their business are not consumers; for them the written offer or contract sets the notice period.
Refunds
We refund within 14 days of your withdrawal, in the same way you paid, minus the work already done as described above.
After the withdrawal period, section 2 applies: we do not refund a service we could not complete because answers or documents were missing, or came too late for a deadline. We may take exceptional circumstances into account, at our discretion.
7. Changes to these terms
When our services or the law change, we update this page and the date at the top. The terms that applied on the day of your order apply to that order.
